Higher education case management software
Student conduct, Title IX, behavioral intervention, HR and campus safety each run their own process on one platform, so a report that arrives in the wrong office still reaches the right team with its record intact.
Who uses it
Deans of students and conduct
Conduct and academic integrity cases with consistent steps, holds and outcomes.
Title IX and equity offices
Reports, formal complaints, supportive measures and appeals, documented as the rules require.
CARE and behavioral intervention teams
Students of concern tracked with the team's own fields, risk notes and follow-up tasks.
Human resources and EEO
Employee matters kept apart from student records, with separate access.

Built for campus teams
Higher education case management for several offices at once, each with its own configuration and its own boundaries.
One higher education reporting route, campus-wide
Students and employees raise something through a form each office shapes. A submission may carry no name at all, and the office can still write back to whoever sent it. Conduct, Title IX, CARE and HR can each publish their own anonymous reporting form with no login.
Offices enable only what they run
Each department switches on the capabilities it needs. A CARE team enables behavioral intervention; the registrar never encounters it.
Five offices, five different processes
Conduct, Title IX, HR, public safety and CARE each define separate steps, durations and approvals inside the same installation.
Separation between offices, by design
Role definitions keep conduct out of HR files and HR out of conduct files, while a dean can be granted a view across both.
The CARE team's own setup
Set up how the CARE team receives referrals, weighs risk and tracks a student, leaving every other office untouched.
Each office writes its own
Outreach, notices and summaries are drafted per department, so the language belongs to the team sending it.
Dates that survive a semester break
Define the meeting and review kinds each office runs, attaching them to cases so nothing stalls between terms.
Identifiers per department
Give each office a distinct prefix and sequence, so an identifier says immediately which team owns the matter.
Higher education case reports, across offices or inside one
Report inside a single department, or combine departments for an institutional picture, and keep either as a reusable definition.
Questions we get
Can one platform serve several offices without mixing their records?
Yes. Each office gets its own case types, workflow, forms and permissions, and access follows the role rather than whoever created the file.
What happens when a case comes back years later?
The case file keeps its parties, documents, tasks, dates and outcomes together, so a case reopened after staff turnover still reads as a complete record.
Does it work for a system or consortium?
Casearoo is built for colleges, universities, higher education systems and state agencies, with departments configured separately under one platform.
How is it priced?
One annual price scaled to enrollment, covering unlimited departments, users, cases and storage, with setup, training and support included.
Can residence life, conduct and CARE each keep their own forms?
Yes. Each team runs its own intake, stages and notices on the same platform. Nobody is made to adopt another office's process to share a system with them.
Can parties upload evidence themselves?
Yes, through controlled access to their own case. What they submitted and when is recorded, which removes the argument about whether something was sent.
How does it handle a student who moves between campuses in a system?
The record follows the student at the level you permit. A campus sees its own cases; the system office can see across them where that is appropriate.
Can we pull the figures the annual security report needs?
Yes, provided incidents were classified when they were logged. The work that makes October easy is done in January, not in the fortnight before the deadline.
Who owns the data, and what happens if we leave?
You do. Records are exportable in full, and leaving means taking a complete set of your own files rather than negotiating for them.
Can access be restricted case by case, not just by role?
Yes. A role sets the default and an individual case can be narrowed further, which is what you need when a case involves a colleague.
